To register as a landlord and set up your Nidamiye workspace, we collect certain identifiers to authenticate your identity, secure your account, and manage your subscription.

Specifically, we collect:

• Landlord Account Details: Your full name, email address, phone number, and a secure password.
• Property Specifications: Information about the rental units you manage, such as building names, physical locations, unit numbers, and rent rates.
• Tenant Details: To help you manage rent collections, you provide us with tenant information including their names, phone numbers, and assigned rental units. You warrant that you have obtained the necessary consent from your tenants to input their details into our utility.

3. Payments & M-Pesa Integration

Nidamiye's core service is automated rent tracking. To match tenant payments to designated properties and units, we process transaction data received through M-Pesa.

When a tenant makes a payment, we process:

• Transaction Metadata: The unique M-Pesa transaction code, payment date, timestamp, and amount.
• Sender Details: The sender's phone number and the name associated with the M-Pesa account.
• Invoicing Actions: We match this payment with your tenant configuration and automatically issue a digital invoice or receipt. We do not store or process credit card numbers or bank credentials directly on our servers.

4. Cookies & Analytics

We use cookies and other web tracking technologies to monitor public website traffic, manage user login sessions, and optimize the landlord experience.

The analytical tools we integrate include:

• Google Analytics: To analyze website traffic, session durations, and general visitor demographics.
• Microsoft Clarity: To record visual heatmaps and session playbacks to diagnose user experience issues.
• PostHog: To track specific feature interactions within our landlord application and evaluate software usage behaviors.

7. Data Retention Policy

We retain your personal data and the tenant details you upload for as long as your landlord account is active or as needed to provide you with our rent-tracking utility.

If you close your account, we will erase or anonymize your data from our active database systems. However, some transaction metadata may persist in our regular secure database backups for a standard cycle before being completely overwritten, or as required to comply with statutory legal, tax, and auditing obligations under Kenyan law.

8. User Rights & Control

As a landlord, you retain full ownership of the data you input into our application. You have the right to:

• Access & Export: Access all your data from the dashboard and download a full export of your tenant sheets and payment history.
• Rectify & Edit: Correct any incorrect details, update billing configurations, or modify tenant profiles at any time.
• Delete: Permanently delete specific properties, tenants, or request the deletion of your entire account and associated workspace data by contacting our support team.

9. Policy Updates & Changes

We may review and update this Privacy Policy from time to time to align with new product features, changed business operations, or evolving legal frameworks.

Any modifications will be posted directly on this page. We will update the "Last Updated" date at the top and, for significant changes, we will notify you through your registered email address or via an in-app dashboard notification.
